Overview

If you've noticed that emails sent via Better Clinics are occasionally flagged as suspicious by certain email providers like Gmail or Microsoft 365, you may see them marked as spam or displaying a warning message. While this can be concerning, rest assured that emails sent from Better Clinics are legitimate and safe.

Why This Happens

Better Clinics uses SendGrid, a trusted email delivery service, to send emails on behalf of your email address (e.g., appointment confirmations or reminders). However, recent updates to email security policies by providers such as Gmail and Microsoft 365 have introduced stricter measures for identifying emails sent on behalf of others.

When Better Clinics sends an email using your address, it appears as:

This setup ensures that replies from your clients go directly to your inbox. However, because the email is sent from Better Clinics' servers (via SendGrid) rather than your own email server, some providers may flag it as suspicious.

How We’re Improving This

We are actively working on solutions to improve email deliverability and reduce the chances of emails being flagged, including:

  • Email Verification: Soon, we will introduce a simple email verification process where you will receive a one-time confirmation link to verify your email address. This will help email providers trust messages sent on your behalf.

  • Enhanced Email Authentication: We are updating our email authentication methods, including SPF, DKIM, and DMARC records, to ensure better alignment with email security policies.

What You Can Do

In the meantime, here are a few steps you can take to improve email deliverability:

  1. Verify Your Email
    As part of our ongoing improvements, you will soon receive an email requesting you to verify your email address. This quick step helps ensure your clinic’s email appears as the sender, reducing the chances of emails being flagged as suspicious. Keep an eye out for the verification email and follow the instructions provided.

  2. Check Your Spam/Junk Folder: If you or your clients notice emails from Better Clinics being marked as spam, check the spam or junk folder and mark the email as "Not Spam." This trains your email provider to recognize future emails as legitimate.

  3. Whitelist Our Email Address: Add noreply@betterclinicsapp.com to your email provider’s safe sender list or contacts. This helps ensure that future emails are delivered to your inbox.

  4. Inform Your Clients: If your clients report missing emails, advise them to check their spam/junk folders and mark the emails as "Not Spam."
