Payment Terms in Better Clinics

Setting up Payment Terms in Better Clinics allows you to control how and when payments are due from your clients. You can set standard due dates, mark terms as default, and choose how the system handles due dates that fall on weekends.

🔧 How to Set Up Payment Terms

To get started:

  1. Go to the Settings

  2. Under Clinics, click Payment Terms.

  3. In the Payment Terms section, scroll to the bottom and click Add.

Now fill in the following details:

  • Term Name: Give your payment term a clear name (e.g. “30 Days from Issue”).

  • Description: Add any notes or internal references.

  • Net Due: Choose how the due date is calculated:

    • Days after issue: e.g. 7, 14, or 30 days after invoice date

    • Day of current month: e.g. the 15th of the current month

    • Day of next month: e.g. the 5th of the following month

    • Custom date: select a specific due date

  • Status: Set the term as Active or Inactive.

  • Default Term: Tick this if you want this payment term to be the default for new invoices.

  • Weekend Adjustment: Tick this if you want due dates that fall on a weekend to be moved to the next Monday.

Click Save once all details are added.

Using Payment Terms When Invoicing

To apply your saved payment terms when creating an invoice:

  1. Invoice your selected client

  2. Click Advanced Options.

  3. Select Custom Fields.

  4. Enable the Payment Terms field.

  5. Choose the desired payment term from the dropdown.

Click Save.

Once selected, the due date will update based on the term you've applied.
