What are Sensitive Notes?

Sensitive Notes allow you to restrict access to clinically sensitive information so only authorised team members can view, edit, or delete it.

Some notes contain information that shouldn’t be visible to administrative staff or other providers. Sensitive Notes in Better Clinics help you meet privacy expectations, professional standards, and minimum-access requirements.

When should I use Sensitive Notes?

Use Sensitive Notes when:

  • Notes contain highly confidential clinical information

  • You want to limit access to specific clinicians only

  • Your clinic operates across multiple disciplines

  • Administrative staff should not see certain client notes

How Sensitive Notes work

1. Tagging a note as Sensitive

When creating or editing a note, authorised users will see an option to:

β˜‘ Mark this note as Sensitive (Restricted Access)


​Only users with permission can view this note.

This option appears only if the user has permission to create sensitive notes.

2. Who can see Sensitive Notes?

Access to Sensitive Notes is controlled by permissions.

If a user does not have permission to view sensitive notes:

  • The note is completely hidden

  • If a user does have permission:

    • The note appears normally and labelled with a Sensitive indicator (🚫)

Permissions Explained

Sensitive Notes use three separate permissions:

πŸ” View Sensitive Notes

  • Allows the user to see sensitive notes

  • Without this permission, sensitive notes are fully hidden

✏️ Edit Sensitive Notes

  • Allows the user to edit or duplicate sensitive notes

  • The note must also be visible to the user

πŸ—‘ Delete Sensitive Notes

  • Allows the user to delete sensitive notes

  • Without this permission, sensitive notes cannot be deleted

If a user is removed from View Sensitive Notes, they are automatically removed as an option from Edit and Delete permissions.

Managing Sensitive Note permissions

  • Team Members β†’ Settings

    • Add Sensitive Client Notes (Disabled by default)

    When enabled:

    • Users can tag notes as Sensitive

    • Additional permission fields appear:

      • View Sensitive Notes

      • Edit Sensitive Notes

      • Delete Sensitive Notes
