Turn on Appointment Reminders - SMS & Email

Keep your cash flow healthy and ensure your customers remember their appointment with automated SMS and email appointment reminders.

When you add any appointment to your calendar you have the option to also set an automatic appointment reminder to be sent to your clients. 

Set up Appointment Auto Reminders:

  1. Click here

  2. Or go to Settings > Messaging > Auto Reminder

  3. If you use the same reminder settings, set your default reminder settings so you don't need to keep adding it every time you make a booking by clicking the 'Enable' toggle and 'Save'.

  4. Select your default reminder options. Select the 'Template' from the dropdown menu. To create a new template click the '+Add' button. Learn about Marketing and Reminder Templates here

  5. Select 'Type' (SMS or Email or both) from the dropdown menu. Emails are delivered to the client's email address you have on file. SMS is sent to the mobile number you have on file for that client. 

  6. Select 'Send Type' from the dropdown menu. Determine whether you would like the reminder sent before or after the appointment.

  7. Select 'Time Prior' to sending (based on your appointment time). Click the default button to make this the default option. Usually, customers like to send their clients a reminder 24 hours in advance which gives your client plenty of time to reschedule if necessary. e.g. If your client's appointment is 9 am on Tuesday, they will get their reminder 9 am Monday.

  8. Select 'Time of Day'. If you select this setting, then the reminder will go out at that time of the day. Click the default button to make this the default option.

  9. In the second box, you can click the toggle that requires clients to confirm their appointment. The reminder will be sent along with a unique link for your client to confirm their appointment. This has been turned on by default. You can see your client's response to your confirmation in your calendar based on the colors you choose for 'confirmation' and 'declined'.

  10. Select the Confirmation colour. When a client confirms their appointment, the appointment will change to the chosen colour on the calendar.

  11. Select the Declined colour. If the client declines their appointment, the appointment will change to the chosen colour on the calendar.

  12. Once you have selected your reminder preferences, click 'Save'.

The next time you add an appointment to your calendar you will see that Reminders have been switched on and your settings have been included. You can modify these for each appointment and save the changes from the appointment screen. You can also switch them off for clients that don't need them or clients you don't have to have them sent to. 

Automatic appointment reminders are a nice customer touchpoint and it will help reduce your no-shows and pump up your customer service.
